Billing and Usage
Review the active plan, manage hosted billing, understand delegate limits, and inspect workspace consumption.
Settings → Billing manages the workspace subscription experience. Settings → Usage summarizes resource consumption and provides detail exports. Billing state and feature entitlements can also restrict write operations elsewhere in the app.
Current Plans
The Billing page currently displays these monthly plan cards:

The pricing configuration also contains yearly prices, add-ons, and seat pricing, but the current Billing plan selector starts monthly checkout only.
Use the current Billing page and hosted checkout as the authority before approving a purchase. Plan configuration can change independently of this documentation.
Manage the Subscription
Open the hosted billing portal
Select Manage billing to open Stripe's billing portal. Use the portal for payment methods, platform invoices, and provider-supported cancellation controls.
If the workspace does not yet have a stored Stripe customer, opening checkout or the portal creates or retrieves one using the workspace and current user's email context.
Change to a paid plan
- Select Starter, Pro, or Enterprise.
- Select Select Plan.
- Complete the monthly hosted checkout.
- Return to Billing and verify the Current Plan card.
The plan card selection itself does not change access. Checkout and subscription synchronization must complete.
Move to Free
- Select Free.
- Confirm the downgrade prompt.
- Wait for the success message.
The current cancellation action asks Stripe to cancel at the end of the billing period. It does not immediately rewrite the local plan record; the Current Plan card can remain unchanged until subscription state synchronizes.
Billing Permissions
The current web behavior is:
- owners and members can start checkout, open the portal, and schedule cancellation
- viewers can read Billing data but cannot perform those writes
- only owners can change billing delegates
Current billing permissions are not owner-only. Organizations that require billing approval should control the Member role and use an internal approval process.
Billing Delegates
Owners can mark workspace members as billing delegates. The selection is saved as a workspace delegate list.
Current limitations:
- delegate status does not grant a separate billing permission beyond the member's existing role
- no delivery worker currently reads the delegate list to send renewal reminders
- Send Reminder shows an informational message but does not send an email
Use delegates as an administrative label today, not proof that the person received an alert or gained hosted-portal access.
Order History
Billing shows Order History for eligible workspace states. The table loads platform billing orders and invoices in pages. Customer invoices under Invoices are a different record type.
For the authoritative payment method or provider invoice, open Manage billing and compare the hosted portal.
Usage Overview
Open Settings → Usage to review:
- Seats in use
- Bank connections
- Inbox items this month
- Invoices this month
- Storage across Vault and Inbox
Cards show the current amount, limit, percentage, a status badge, and change against the prior 30-day window when history is available. Invoice and Inbox counts reset by monthly period; seats, connections, and storage are current workspace totals.
Owners, members, and viewers can read usage.
Usage Detail and Export
Open a usage detail action to inspect item-level data and a timeline. Detail pages support CSV export with Name, Detail, Value, and Unit columns.
Available cleanup actions include:
- Archive on a storage document
- Remove on a bank connection
These are real workspace writes. Archiving is described by the app as restorable; removing a bank connection stops its sync and reduces the active connection count. Confirm the item and workspace before acting.
Recommendations and Nudges
The page can show warnings near a limit and recommendations to inspect a metric or review Billing. Selecting a recommendation opens an in-context sheet; Open full continues to the full detail page.
Warnings describe current configured limits. They do not themselves block a write. Feature and resource enforcement occurs at the operation that checks the entitlement or quota.
Important Fallback State
If usage loading fails, the current page intentionally renders a fallback with:
- plan shown as Free
- every metric shown as zero
- every limit shown as unlimited
Do not interpret that all-zero, all-unlimited combination as a real plan change. Refresh and compare Settings → Billing. If it persists, contact support.
Invoice and Inbox activity can currently trigger the fallback state even when records exist. Use provider billing and the relevant resource pages for a critical capacity decision until the Usage page returns credible values.
Billing Access Restrictions
Subscription status can permit reads while blocking writes. A past-due or otherwise restricted billing state can therefore let you inspect records but reject create, update, deploy, run, or delete actions.
When a write fails across multiple product areas:
- open Settings → Billing
- check the current subscription and cancellation state
- open Manage billing and confirm the provider state
- resolve the payment or subscription issue
- reload the original page and retry once
Troubleshooting
Manage billing returns no portal link
Retry once. If it still fails, send the workspace and exact time through Support; do not repeatedly create checkout sessions.
The plan card did not change after checkout
Wait for subscription synchronization, then refresh Billing. Compare the hosted portal before purchasing again.
Cancellation succeeded but the plan still looks paid
Cancellation is scheduled for period end. The local badge can lag provider state until synchronization.
A delegate did not receive a reminder
The delegate list is stored, but reminder delivery is not implemented. Send Reminder does not send a message.
Usage shows zero and No limit everywhere
Treat it as a load failure. Refresh, check Billing, and inspect the resource pages directly.
A viewer can see Billing but cannot change it
That is expected. Viewers have team read access but not team write access.
